Exchange Server 2003/Outlook 2007 Free/Busy data goes "missing" after 30 minutes
Hello all,I am havingan issueswith only one Outlook 2007 client (that I'm aware of)where her Free/Busy data just doesn't show up to other people. For example, I can add her to a meeting request and all of her time shows up as "free" when she's not actually free in her calendar. The odd thing is that she can run Outlook with the /cleanfreebusy switch and her free/busy data will show up perfectly for about 1/2 hour.... After that it seems to just go blank again until she runs the /cleanfreebusy switch again, but it's not feasable for her to run that every 30 minutes.I have tried deleting the users Free/Busy data from the SCHEDULE+ FREE BUSY public folder, then having her run the /cleanfreebusy switch again. I did see a new email inthe SCHEDULE+ folder for her, but the same thing happend, it worked for 30 minutes, then back to no data showing up for her free/busy. One question about theSCHEDULE+ FREE BUSY public folder - is it normal for the only email listed in it for each user to have an old date? I found that most user's email's date is the day the account was setup and they logged in for the first time. Is that normal?Anyone have any other ideas or tips on how to resolve this? Thanks!

Hi, From your description: +++++++++++++++++ The odd thing is that she can run Outlook with the /cleanfreebusy switch and her free/busy data will show up perfectly for about 1/2 hour.... After that it seems to just go blank again until she runs the /cleanfreebusy switch again, but it's not feasable for her to run that every 30 minutes. +++++++++++++++++ I would like to know whether all of her time shows up as free after 1/2 hour after running /cleanfreebusy. Or only the new created meeting request after running /cleanfreebusy does not show up as Busy/Tentative after 1/2 hour (The previous meeting request could be shown correctly now). Base on my local test, if we are not able to get the Free/Busy information for a user through Public Folder. The Outlook should show up as No information for the user. Nevertheless, from your description, the Outlook shows up as Free. Therefore, I suspect that the Outlook is able to obtain Free/Busy message from Public Folder but the Free/Busy information in the message is incorrect. Therefore, I suggest you use the following method to access the Public Folder to view the Free/Busy information of the problem user directly: Note: If you have several public folder exists which contains the Free/Busy public folder replica, please access all of them to check whether public folder replication issue exists. XCCC: Description of the Command to Retrieve Free/Busy Information From a Calendar Public Folder http://support.microsoft.com/kb/813268/en-us Note: In the fbdata, 0 means Free, 1 means tentative, 2 means busy and 3 means OOF. Hi Mike, Thank you for responding! It isthe meetings she had scheduled before running the /cleanfreebusy swith that seem to disappear from her free/busy data after 1/2 hour.Right after she runs the /cleanfreebusy switch, I can add her to a meeting request and see all of the free/busy data correctly. But, if I wait about 1/2 hour and try to add her to a meeting request again, nearly all of her time just shows as "free" - not the \\\\\\ slashes that mean "no information", but free as in it's all white space. I say "nearly all" because there do seem to be a very few sporadic times blocked off as "busy" for her, but definately not everything that should be marked as busy.I followed your advice and ran the command from the MS KB - and we only have 1 Public Folder store, so replication isn't an issue.I am seeing the same thing here as in the outlook meeting request. There are a few "222"s listed where the odd "busy" times are blocked in her calendar, but most of the things are showing up as "free" when they shouldn't. This is what I get: - <a:response xmlns:a="WM"> - <a:recipients> - <a:item> <a:displayname>All Attendees</a:displayname> <a:type>1</a:type> <a:fbdata>000000000000000000000222000000000000000000000000000000000000000000000000000000000000000000000000000000000000002200000000000000000000000000000000</a:fbdata> </a:item> - <a:item> <a:displayname>USERS NAME</a:displayname> <a:email type="SMTP">USERS.NAME@DOMAIN.com</a:email> <a:type>1</a:type> <a:fbdata>000000000000000000000222000000000000000000000000000000000000000000000000000000000000000000000000000000000000002200000000000000000000000000000000</a:fbdata> </a:item> </a:recipients> </a:response>

The user just ran the /cleanfreebusy switch. The meetings are showing up in Outlook now if I try to book a meeting with her, so I ran the command to pull the free busy data from the public folder again... Here is what I'm seeing now (it's not the same time period as the last query, as I couldn't remember what days I had pulled it from, but you see my point that there are meetings scheduled): - <a:response xmlns:a="WM"> - <a:recipients> - <a:item> <a:displayname>All Attendees</a:displayname> <a:type>1</a:type> <a:fbdata>000000000000002222001000002200002000000000000000000000000000002220000000220202222000000000000000</a:fbdata> </a:item> - <a:item> <a:displayname>USERS NAME</a:displayname> <a:email type="SMTP">USERS.NAME@DOMAIN.com</a:email> <a:type>1</a:type> <a:fbdata>000000000000002222001000002200002000000000000000000000000000002220000000220202222000000000000000</a:fbdata> </a:item> </a:recipients> </a:response>I'll wait about 30 minutes and see if the data disappears again.

Hi, From your description, I understand that the Free/Busy information which is able to display correctly after running /cleanfreebusy disappears again after 1/2 hour. If I am misunderstood the issue, please let me know. At this time, would you please help me test the following situations: 1.Please let me know whether any delegate is configured for the problem user 2.If the problem user schedule a meeting request, whether she is able to view self Free/Busy information correctly 3.Please use the MFCMAPI tool to check the PR_Last_Modifier_Name and PR_LAST_MODIFICATION_TIME properties of the problem users Free Busy message on the public folder. Note: I suggest you gather the two properties twice. After running the /cleanfreebusy command, get and record the two properties. After 1/2 hour, the Free/Busy information disappears, gather the two properties again. a. Download the MFCMAPI tool, and then copy it to the server that is running http://www.microsoft.com/downloads/details.aspx?FamilyID=55fdffd7-1878-4637-9808-1e21abb3ae37&DisplayLang=en b. Start the MFCMAPI tool c. On the Session menu, click Logon and Display Store Table. (You need to create a profile to logon) d. On the MDB menu, click Open Public Folder Store, and then click OK. e. Expand Public Root, expand NON_IPM_SUBTREE, and then expand SCHEDULE + FREE BUSY. f. Double-click the site or the administrative group object that you want. For example, double-click the EX:/o=First Organization/ou=First Administrative Group object and follow the steps below. g. Click Open contents table and then click on the problematic users free busy info and then in the lower half of the mfcmapi window check for the properties that I mentioned. 4. Please also check the application log on the Exchange Server for related information. Mike

Hi again, Mike!Yep, you got it.1. There are no delegates.2. I'm not sure about this.3. I checked those, and it appeared to be from a recent time no matter what, and the last modifier name was the user's name.We were running out of options on this, and it was suggested that we re-create the users account. This useraccount has had some odd problems in the past, so the consensus was there was something corrupt with the account from the start. I have created a new account for the user and will have to wait and see if that does clear up these challenges. Thanks for your help, Mike! I definitely learned some new things about Free/Busy data and the tools to manage it from you.

Hi everyone - I just wanted to post back here in case anyone having similar problems comes across this post. Creating a new user account did resolve the Free/busy data issues we were having!I do not recommend this solution, however, until you have exhausted ALL OTHER options! It is seriously a huge pain to create a new user account for a user already in existance. It causes all kinds of trouble for the user in question and the other user's in the orgainization. I knew this going into it, but was out of other options, so decided that it would be best to get it over with and deal with the challenges a new account will create afterwards.Just giving a fair warning!
